வரையறை
Business Suite money and inventory rest on three pillars: Journal (double-entry money), Stock (warehouse / inventory movements), and Party (suppliers and B2B contacts). Together they power the purchase lifecycle into books and the stock ledger.

Financial and inventory management in Business Suite is built on three pillars. Learn each one, then follow the purchase flow end to end.
1. Journal — financial transactions
Example — post a purchase bill for 5,000: Debit: Purchases / inventory account 5,000 Credit: Supplier (accounts payable) 5,000
- Works as double-entry: every posted transaction follows debit = credit.
- Posted bills, payments, expenses, and related money documents create journals.
- Full accounting reports unlock on Growth+.
குறிப்பு: Technical note: amounts are stored internally in minor units (for example, paisa for BDT). In the UI you still enter and read normal currency amounts.
2. Stock — inventory management
- Stock moves as warehouse / inventory movements (stock in and stock out).
- Sellable quantity is what shoppers and POS (Point of Sale) see.
- Starter+: purchase and inventory movements update sellable stock.
- Professional+: multi-warehouse ledger detail for location-level tracking.
- A supplier bill without a GRN can post stock once — do not receive the same qty again.
3. Party — suppliers and B2B contacts
- A party is a supplier (who you buy from) or another B2B contact.
- Register the party before you create a PO (Purchase Order).
- Keep a separate party profile per supplier.
Full purchase flow
PO (Purchase Order)
↓
GRN (Goods Receipt Note) → stock in
↓
Supplier bill
↓
Supplier payment Prefer this path so stock and money stay aligned: Party → PO → GRN → Bill → Payment → Journal + Stock ledger.
- PO (Purchase Order) — create the purchase order.
- GRN (Goods Receipt Note) — receive goods into the warehouse / stock. PO “received” status comes from GRN or bill-posted receive — not from manually marking received.
- Supplier bill — post the final invoice (journal / payable).
- Supplier payment — pay the supplier (journal / cash or bank).
Important rules and cautions
- Document correction: do not delete posted documents — void (cancel) them so reversals keep reports correct.
- GRN and bill: billing without a GRN may post stock once; never receive that same quantity again on a GRN.
- If goods already arrived via GRN, bill only against received quantity.

Source of truth for your store: Store → Billing.
Quick example
Suppose you run an electronics shop:
- Create a party — add “Samsung Electronics” as a supplier.
- Create a PO — order 50 monitors (for example, 500,000).
- Create a GRN — when goods arrive, receive them into stock.
- Post the bill — post the supplier invoice.
- Pay — settle payment when due.
குறிப்பு: Along this path, both financial (journal) and inventory (stock) records update automatically.
